Collaborative Services Analyst

Position Description

Purpose

The Collaborative Services Analyst is responsible for managing, maintaining, and optimizing an enterprise Microsoft 365 environment while providing technical support and guidance to end users. This role ensures the security, availability, and effective use of Microsoft 365 services, including Exchange Online, SharePoint Online, Teams, OneDrive, and Entra ID. The position combines hands-on platform administration with user support, compliance oversight, and project-based implementation work.


Focus & Scope

Essential Duties and Responsibilities

  • Administers and maintains Microsoft 365 services including Exchange Online, SharePoint Online, OneDrive, Teams, and hybrid Entra ID (formerly Azure Active Directory), ensuring platform availability, security, and optimal performance.
  • Manages identity and access management policies, including RBAC models, security and dynamic group structures, conditional access policies, and just?in?time privileged access workflows.
  • Monitors Microsoft 365 service health and usage analytics to drive adoption, identify underutilized licensing, and proactively communicate service updates and incidents.
  • Manages the email security stack, including Microsoft Defender for Office 365, Proofpoint, DKIM/DMARC/SPF authentication, anti?phishing and anti?spoofing controls, safe attachments, safe links, and message encryption standards.
  • Administers Microsoft Teams, including team provisioning and lifecycle governance, meeting and messaging policies, third?party and line?of?business app management, guest and external access, and compliance integrations such as retention and data loss prevention policies.
  • Administers Microsoft Purview solutions, including data loss prevention, sensitivity labels, retention policies, litigation holds, and eDiscovery workflows to support CIS v8 and NIST 800?171 compliance and information governance.
  • Oversees Power Platform governance, including environment management, connector?level data loss prevention policies, and Power Automate flow oversight.
  • Performs regular security and compliance audits of the Microsoft 365 and Entra ID environment.
  • Resolves escalated technical issues and serves as a subject matter expert for Microsoft 365, documenting support processes, known issues, and resolutions.
  • Implements new Microsoft 365 features and services aligned with business needs and collaborates with IT teams on integration initiatives.
  • Develops and delivers training and documentation to educate users on Microsoft 365 features and best practices to improve productivity.

Specific Job Requirements

  • Strong knowledge of Exchange Online, SharePoint Online, Microsoft Teams, and Entra ID.
  • Experience using PowerShell for Microsoft 365 automation and administration.
  • Solid understanding of security best practices, CIS v8, NIST 800?171, and data governance.
  • Hands?on experience with Microsoft Purview (DLP, sensitivity labels, retention, eDiscovery) and Microsoft Defender.
  • Proficiency with Power Platform administration and governance.
  • Experience with ticketing systems and ITSM platforms.
  • Microsoft 365 Administrator Expert or equivalent certification preferred.
  • Experience with Microsoft Intune and endpoint management preferred.
  • Knowledge of Azure services and hybrid identity environments preferred.
  • Experience administering Proofpoint solutions preferred.
  • Working knowledge of email authentication standards (SPF, DKIM, DMARC, BIMI).
  • Familiarity with ITIL or similar service management frameworks.
  • Understanding of networking fundamentals (TCP/IP, DNS).
  • Strong troubleshooting, communication, and documentation skills.
  • Ability to handle sensitive and confidential information with discretion.
