Insurance Defense Executive Litigation Legal Assistant

Seeking a sharp, professional, high level Defense Litigation Legal Assistant / Secretary for a well-established international law firm with great tenured employees. Seeking a top notch Legal Assistant with 5+ years’ experience with insurance coverage / insurance defense litigation experience.  Preferably someone out of a mid to large firm environment.

Responsibilities Include

·         Provide administrative support to two partners and team of litigation attorneys

·         Preparing shell documents (pleadings, discovery, motions, correspondence)

·         Proofreading, formatting and finalizing all outgoing documents (including TOA and TOC)

·         Preparing document production (encrypting media, drafting transmittal letters, logging Bates numbers)

·         Preparing exhibits for depositions and trials

·         Preparing notebooks of documents for attorney use, sometimes in collaboration with a paralegal

·         Run conflicts checks for new client matters using InTapp Open

·         Draft, review, proofread and send cover letters along with monthly client invoices

·         Convert documents to pdf, edit pdfs, and combine/delete pages of pdfs using Nuance

·         Maintain electronic files for client matters

·         Assist with travel arrangements upon request including car, hotel and airfare reservations

·         Oversee arrangements for in-house and external depositions

·         Assist Business Development team with gathering attorney information for marketing materials and publications

·         Enter and track attorney CLE through Micron, and submit requests for CLE credit to various state bars

·         Set up conference calls and arrange meetings

·         Liaise with IT to set up video conferencing for scheduled meetings

·         Assist with ad hoc projects as necessary

·         Answer and direct phone calls

·         Open incoming mail, review and handle

·         Time Entry for attorneys

·         Calendar deadlines

·         Prepare and process expense reports for office, attorneys, and business development department

·         Liaise with, and point of contact for, Accounts Payable, Accounts Receivable, Billing, and Human Resources on various matters

·         Keep track of office supplies and approve office supply orders

·         Arrange for food delivery and catering for in-office meetings and depositions

·         Filing and organization of paper files, which includes preparing paper files to be sent offsite to records department

Requirements

·         At least 5 years of litigation experience in a law firm setting

·         State and Federal E-filing experience a must

·         Relativity experience a plus
