Job Title: Operations Coordinator, Office of the CTO

Job Summary:
The Operations Coordinator will play a key role in supporting the Office of the CTO by driving business planning and operational processes, coordinating engagement forums, and serving as a trusted partner to the IT team for process support and training. This role requires strong organizational skills, attention to detail, an analytical mindset, and the ability to manage multiple priorities effectively.
Key Responsibilities:
- Coordinate the annual business planning process, including scheduling meetings, preparing agendas and content, and capturing meeting notes.
- Support quarterly business reviews by organizing logistics, preparing materials, and documenting outcomes.
- Assist with content development, logistics, and follow-ups for key engagement forums such as all-hands meetings, tech innovation hours, and leadership team sessions.
- Compile and support reporting for the IT roadmap.
- Provide administrative support for enterprise change initiatives in partnership with the Head of Strategy & Operations.
- Manage contract-related activities, including hosting monthly office hours, onboarding training for new hires, and publishing a monthly report on upcoming renewals.
- Assist in preparing materials and analysis for the annual budget planning process.
- Maintain regular financial reporting publications for the tech leadership team.
- Create and manage a calendar for recurring reviews and updates of IT policies and procedures.
- Coordinate policy maintenance activities and ensure timely updates.
- Develop training materials for IT goal-setting tools (e.g., OKRs).
- Track and manage annual IT team training spend.
Qualifications:
- Bachelor’s degree in Business Administration or a related field preferred.
- Demonstrated experience in administrative or coordination roles.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and collaboratively.
- High attention to detail and accuracy.
- Experience with project management tools or methodologies is a plus.
