Job Title: Executive Assistant 

Location: Dallas, Texas

Position Overview: We are seeking an experienced Executive Assistant to provide comprehensive support to our Distribution Executive and Chief People/Culture Officer (HR Executive). The ideal candidate will have formal EA experience working with C-level executives and possess excellent organizational and communication skills. This role involves traditional EA responsibilities such as calendar management, travel arrangements, and executive support in decision-making processes.

Key Responsibilities:

  • Manage complex calendars for the Distribution Executive and Chief People/Culture Officer, including scheduling meetings, coordinating appointments, and ensuring efficient time management.
  • Arrange domestic and international travel logistics, including flights, accommodations, transportation. 
  • Prepare and edit executive-level presentations, reports, and correspondence with accuracy and attention to detail.
  • Act as a proxy for the executives by making certain decisions, signing off on documents, and representing their interests when necessary.
  • Coordinate and facilitate meetings, conferences, and events, including logistical planning, agenda preparation, and follow-up actions.
  • Maintain confidentiality and handle sensitive information with discretion, ensuring data security and compliance.
  • Assist in special projects, research initiatives, and ad-hoc tasks as assigned by the executives.

Qualifications:

  • Bachelor's degree in business administration, communications, or a related field preferred.
  • Proficiency in calendar management tools (e.g., Microsoft Outlook, Google Calendar) and office productivity software (e.g., Microsoft Office Suite, G Suite).
  • Strong organizational skills with the ability to prioritize tasks, multitask effectively, and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, including proofreading and editing capabilities.
  • Discretion and professionalism when handling confidential information and sensitive matters.
  • Proven ability to work independently, take initiative, and anticipate the needs of executives.

Additional Requirements:

  • Experience in creating executive-level presentations and reports.
  • Familiarity with HR processes and terminology is a plus.
  • Willingness to occasionally work outside regular business hours and travel as needed.
