We are seeking a highly skilled and proactive Executive Administrative Assistant to support our Chief Executive Officer (CEO) and Chief Medical Officer (CMO) during a pivotal growth period for our company. This individual will play a critical role in ensuring seamless operations and high-level representation as we prepare for potential acquisition by leading industry giants such as Pfizer or Novartis. The ideal candidate will be capable of hitting the ground running, taking initiative, and growing the administrative team as the company expands.

Key Responsibilities:

  • Provide comprehensive administrative support to the CEO and CMO.
  • Manage complex global travel logistics, ensuring seamless arrangements and anticipating any potential delays.
  • Prepare and manage executive-level correspondence, reports, and presentations.
  • Coordinate high-level meetings, including Board meetings, with precision and professionalism.
  • Represent the company effectively in interactions with high-profile stakeholders and potential acquisition partners.
  • Develop and manage the administrative team as the company grows.
  • Maintain confidentiality and handle sensitive information with the utmost discretion.
  • Foster a dynamic and fast-paced work environment, ensuring all tasks are completed accurately and efficiently on the first attempt.

Must Haves:

  • Professional Reference: Must provide a professional reference from a C-level supervisor/manager upon submission.
  • Experience: Proven experience in directly supporting CEO/C-level leadership within an enterprise or corporate environment. Preference for candidates with backgrounds in big Pharma, Banking, Private Equity, Hedge Funds, or similar sectors.
  • Global Travel Planning: Extensive experience in managing global travel logistics, ensuring seamless execution, and proactive problem-solving.
  • Cultural Fit: Must thrive in a dynamic, fast-paced environment. Demonstrated ability to articulate effectively at the Board level with the right level of polish and professionalism. An unwavering commitment to precision and excellence in all tasks.

Qualifications:

  • Bachelor's degree in Business Administration or a related field preferred.
  • Minimum of 5 years experience in a similar role supporting C-level executives.
  • Exceptional organizational and multitasking skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to work independently and as part of a team.
