Executive Assistant to COO (6 Month Contract)
Hybrid | Full-Time | High-Visibility Support
We're seeking a seasoned Executive Assistant (7+ years supporting senior leaders) to cover a six month maternity leave for a fast moving COO. This role requires someone who thrives in complex environments, handles constant prioritization, and can confidently serve as the COO's right hand.
What You'll Do
- Manage complex calendars - business and limited personal - across shifting priorities.
- Coordinate heavy travel (100 - 125 days/year) across multiple cities and remote locations; book hotels, transportation, and meals via Concur.
- Prepare, edit, and polish executive presentations and board materials.
- Join calls and serve as the COO's voice to ensure continuity on deliverables.
- Support onsite and virtual meetings, including tech setup and logistics.
- Collaborate with a small, highly efficient operations team to meet monthly deadlines.
- Assist with light personal tasks as needed (e.g., occasional family travel).
- Bonus: help organize and streamline Teams channels and files.
What You Bring
- 7+ years EA experience supporting senior executives.
- Strong Outlook, Concur, SharePoint, and PowerPoint capabilities.
- Experience with board prep and multi-leg executive travel.
- Confidence operating independently and managing last minute requests.
Details
- Hybrid: Onsite ~3-4 times/month, typically aligned with COO visits.
- Contract: Late Feb or March start. Mid August end.
- Occasional after hours responsiveness required due to time zone differences.
