DOCKETING COORDINATOR (WASHINGTON, DC)

Our law firm client is seeking a Docketing Coordinator.  This is a non-exempt position, primarily responsible for docketing database accuracy and integrity and mentoring and training of the docketing specialists.  The position reports to the Docketing Manager.

 

RESPONSIBILTIES:

  • Initial contact for assigned team for general inquiries and requests received from department and other firm members.
  • Review and monitor case history in the firm's docketing systems on a daily basis, including the supervision of data entry, analysis and calculation of due dates for all incoming firm correspondence and PTO filings.
  • Review and consolidate dual docket systems; research discrepancies and analyze the cause of discrepancies and discuss the same with team members and docketing managers.
  • Troubleshoot solutions and corrections as needed, which may include file review, mail review, and/or communication with department staff including management, legal professionals, third party vendors and IT department personnel, as necessary in accordance with department service level agreements.
  • Generate and proof for quality all routine and special docket reports as necessary, including general docket reports, daily audit reports, status reports, discrepancy reports, annuity reports, etc.
  • Dedocket/Redocket dates in compliance with established firm docket clearing procedures and the firm's Last Day List prevention initiative.
  • Maintain advance knowledge of U.S. and foreign patent prosecution laws, rules and regulations.
  • Mentor new team members and help to promote a high level of accuracy, efficiency and integrity of the firm's docket systems.
  • Provide training and orientation to new and existing employees regarding departmental/firm procedures and the use of department systems on an ongoing basis.
  • Assist with the preparation and updating training materials for the department.
  • Make recommendations regarding process and procedure improvements as needed.
  • Draft correspondence and communications relating to docketing systems as necessary.
  • Provide assistance for special department projects as assigned, including assisting in the review and data entry of new/transfer-in U.S. and foreign, patent, trademark, and litigation case data and auditing case details as necessary.
  • Assist as a backup to department supervisor/manager and in other areas of the Docketing Department as necessary.
  • Miscellaneous other duties as assigned by management.
  • Maintain strict confidentiality of all documentation processed in the Docketing Department.

 

 

REQUIREMENTS:

  • Seven years of IP experience, five years of U.S. and foreign patent and trademark experience.
  • College graduate preferred.
  • Combined training, education and work experience will be considered in lieu of a degree.
  • Previous supervisor or team lead experience.
  • Highly motivated, pleasant and professional individual.
  • Performs well under pressure, working efficiently and productively during peak and non-peak periods.
  • Must be a team player capable of working effectively with all levels of staff.
  • Strong analytical, attention to details, problem solving, time management and communication skills needed.
  • Should possess strong computer, administrative, organizational, customer service and research skills and be capable of working at a fast pace.
  • Must be able to exercise initiative and sound, independent judgment.
  • Excellent written and verbal communication skills.
  • Knowledge of Windows-based software applications and document management systems.
  • Capable of working independently with minimum supervision.
