Contracts Administrator (LinkSquares Specialist)
Position Overview
The Contracts Administrator is responsible for managing, organizing, and maintaining the company's contract portfolio with a strong focus on optimizing LinkSquares. This role ensures the accuracy, compliance, and accessibility of all contracts, supports legal and operational workflows, and plays a key role in reconciling legacy and active agreements across multiple systems.
The ideal candidate has experience in contract administration, strong attention to detail, and comfort working with digital contract management tools such as LinkSquares.
Key Responsibilities
Data Reconciliation & Contract Validation
- Review executed rental agreements to confirm active vs. inactive contracts.
- Document and organize validated active contracts for ingestion into LinkSquares.
Legacy Contract Consolidation & Cleanup
- Organize, standardize, and consolidate legacy buyout contracts for migration into LinkSquares.
- Clean up data inside LinkSquares, including:
- Updating metadata and tagging
- Linking related agreements, renewals, and amendments
- Uploading and associating attachments (certificates, SOWs, supporting documents)
Reporting, Compliance & Continuous Improvement
- Maintain accurate, organized, and up?to?date contract records.
- Conduct audits to identify gaps, inconsistencies, or opportunities for process improvement.
- Monitor contract performance, renewals, expirations, and obligations.
Qualifications
- 3+ years of experience in contract administration or similar role.
- Strong understanding of contract law, legal terminology, and agreement structures.
- Proficiency with contract management software such as LinkSquares, SharePoint, or related systems.
- Strong analytical skills with the ability to reconcile data
- Excellent communication, organization, and interpersonal skills.
- Ability to manage high volumes of contracts with exceptional attention to detail.
- Proficiency in MS Office Suite; comfort with data tools preferred.
