We’re seeking a detail-oriented and process-driven Billing Operations Manager to oversee all aspects of client billing operations in a growing IT Managed Services environment. This role is responsible for ensuring accurate, timely, and customer-focused invoicing using mostly AutoTask and some QuickBooks Online.  Client moving to NetSuite or some other ERP eventually later this year or next.  The ideal candidate will bring strong experience in billing workflows, system integrations, and financial operations, ideally within a services organization or a company that has a Professional Services component to their product.

Key Responsibilities
Own the end-to-end billing process—from contract setup to invoice generation, review, and distribution
Ensure accurate and timely billing in alignment with service agreements and contract terms
Manage and optimize workflows between AutoTask PSA and QuickBooks Online to ensure data integrity and minimize billing errors
Review and reconcile time entries, project billing, recurring services, and pass-through charges
Monitor aging accounts, assist in collections support, and resolve client billing inquiries
Collaborate with Sales, Service Delivery, and Finance to ensure seamless onboarding and billing of new clients and services
Analyze billing trends, create reports, and identify opportunities for efficiency and revenue assurance
Assist in the development and enforcement of billing policies, procedures, and internal controls
Lead or support billing-related projects, including system upgrades, integrations, and automation initiatives

Qualifications
2+ years of experience in billing, finance operations, or AR management, preferably in a Services company
Hands-on experience with QuickBooks Online and AutoTask PSA is highly preferred but not a hard requirement
Prefer a good understanding of MSP billing models, including recurring services, time & materials, project-based billing, and product resale
Excellent attention to detail and analytical skills; able to spot errors and inefficiencies quickly
Familiarity with GAAP principles and standard invoicing compliance practices
Strong communication skills and a customer-service mindset when addressing internal or client-facing billing issues
Experience improving processes and leveraging automation tools a plus
Proficiency in Microsoft Excel or Google Sheets for reconciliation and reporting

Location:  Remote or Cranston, RI. Some travel required.

Compensation: $40-55/ hr W2 + benefits
