Role Overview:  Responsible for operating HRIS systems and carrier sites, performing data entry at times in a repetitive fashion, including identifying, reporting and correcting discrepancies, computing rapid and accurate mathematical computations, gathering data, and verifying information within the payroll/ benefits team.

Responsibilities:

  • Pull and enter 401k rate changes/ new loans and terminated loans weekly
  • Validate 401k reporting data, upload new hires files to Talent Acquisition website, enter terms into TA website
  • Pull HSA, FSA Reporting after payroll runs
  • Process HSA/FSA after payroll processing to ensure timely posting to EE’s accounts
  • Review terminations to ensure PTO payout and final benefit deductions are correct per each EE’s situation
  • Assist in setting up EE deductions/earnings for File Feeds and validating data in UltiPro
  • Reports discrepancies, concerns, and issues to payroll manager for further escalation
  • Assist with Payroll processing and balancing during heavy payroll weeks
  • Generate, review, and audit payroll files for accuracy of benefits and notify of discrepancies before processing.
  • Responsible for making sure all benefits are coded to the appropriate deduction.
  • Maintain benefit documentation for each payroll processed.
  • Keep current on benefit deductions and adjustment and ensure payroll adjustments are meet for processing deadlines.
  • Track COBRA payments from terminated employees and/or dependents; maintain accurate records and terminate coverage when appropriate.
  • Responsible for employee accrual(s) tracking and reporting.
  • Review EE Life Events, approve/deny and notify manager of discrepancies
  • Maintain confidentiality.
  • Keep procedures for all duties updated in the desk manual.
  • Attend meetings and training sessions as needed and requested.
  • Provide back-up functions for other payroll/benefits staff.

Required Qualifications:

  • Payroll, benefits, and data processing or similar educational environment preferred.
  • Three years’ experience with; Payroll/Benefits preferred.
  • Knowledge of current benefit laws and regulations and benefits administration.
  • Strong computer skills, word processing, spreadsheets (excel), and email.
  • Three years’ experience with; UltiPro required.

Skills, Knowledge, and Abilities:

  • Demonstrates broad knowledge of the variety and structure of retirement plans, from pensions to 401(k)’s to IRAs and Roth IRAs.
  • Possesses knowledge of the laws surrounding benefits and compensation for employers.
  • Demonstrates broad knowledge of different health insurance plans, including HMOs and PPOs.
  • Exhibits solid organizational skills.
  • Communicates clearly and effectively.
  • Able to translate legal, medical, and insurance-related jargon into layman’s terms for clarification purposes.
  • Demonstrates the ability to conduct independent research into benefits plans and changes to insurance and healthcare regulations.
  • Capable of reading, interpreting, and explaining insurance invoices.
  • Exhibits the ability to maintain relationships with insurance and healthcare providers.
